At Konobase (“we,” “our,” or “us”), we take your privacy seriously. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our data and AI platform and related services.
Information we collect
Information you provide
- Account information — name, email address, mobile phone number (if you choose to provide one), company name, and contact details.
- Business data — documents, files, and data you upload to the platform.
- Payment information — billing details processed securely through our payment providers.
- Communications — emails, support tickets, and other correspondence.
Information collected automatically
- Usage data — how you interact with the platform, features used, performance metrics.
- Device information — browser type, operating system, IP address, device identifiers.
- Cookies — session cookies and (privacy-respecting) analytics cookies to improve your experience.
How we use your information
We use your information to:
- Provide and maintain the Konobase platform.
- Process and analyze your business documents as you request.
- Improve the service and develop new features.
- Communicate with you about your account and the service.
- Ensure security and prevent fraud.
- Comply with legal obligations.
SMS/Text messaging
Konobase sends text messages only to its own registered users, and only to users who have given express written consent. We do not buy, rent, or import phone number lists, and we never text a number we did not collect directly from its owner inside their own Konobase account.
How to opt in
Text messaging is off by default. Every Konobase account starts with no phone number and no SMS consent. There are exactly two ways to opt in, and both work the same way: you type your own mobile number, then tick a separate consent checkbox that is unchecked by default. Entering a phone number alone never enrols anyone in text messaging, and we never tick the box for you.
Method 1 — at signup (public, no login required). On the signup form at register.konobase.com:
- Enter an organization name.
- Type your own mobile number into the optional Mobile phone field.
- Tick the SMS consent checkbox beneath it.
- Press Create Organization.
Method 2 — in your account settings. Inside your Konobase instance at
yourorg.konobase.com:
- Sign in and open Settings → Profile.
- Type your own mobile number into the optional Mobile phone field.
- Tick the SMS consent checkbox beneath it.
- Press Save.
We operate no other opt-in path. We do not collect numbers by phone, paper form, keyword campaign, or any third party.
In both methods the checkbox carries this disclosure verbatim:
I agree to receive text messages from Konobase at the mobile number above, including one-time verification codes, account and security alerts, customer support replies, and notifications about account activity and product updates. Message frequency varies. Message and data rates may apply. Reply STOP to cancel or HELP for help. Consent is not a condition of purchase.
We record the date, time, and originating IP address of every consent, along with the exact disclosure text shown at that moment, so consent for any given number can be evidenced on request.
What we send
Service messages only: one-time verification codes (OTP), account and security alerts, customer support replies, and notifications about activity and new features in the user’s own account. We send no marketing, promotional, or third-party content on this program.
Message frequency varies with account activity. Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.
How to opt out
Reply STOP to any message to cancel at any time. You will receive one confirmation message and then no further texts. Reply HELP for help, or email [email protected]. You can also untick the consent checkbox or clear the phone number in Settings → Profile; removing the number revokes consent automatically.
Sharing
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use is subject to the sharing rules described elsewhere in this policy.
Data processing and AI
When you upload documents to Konobase:
- Your data is processed using AI within secure, encrypted environments.
- We do not use your business data to train general-purpose AI models.
- Your data remains your property and is isolated from other customers.
- On private-cloud and on-prem deployments, your data never touches our systems.
Data security
We implement industry-standard security measures:
- Encryption in transit and at rest.
- Regular security audits and assessments.
- Access controls and authentication protocols (passkeys, OAuth, OTP).
- Immutable audit logs.
- Employee training on data protection.
Data retention
- We retain your data for as long as your account is active.
- You can request deletion of your data at any time.
- After account closure, data is retained for 30 days before permanent deletion, unless legal obligations require longer retention.
Your rights
You have the right to:
- Access your personal information.
- Correct inaccurate data.
- Request deletion of your data.
- Export your data in a portable format.
- Opt out of marketing communications.
- Lodge a complaint with supervisory authorities.
Third-party services
We use trusted third-party services for payment processing, infrastructure, analytics, and email. These providers are bound by confidentiality agreements and process data only as instructed.
International data transfers
Your data may be transferred to and processed in countries other than your own. We ensure appropriate safeguards are in place for such transfers.
Children’s privacy
The service is not intended for children under 18. We do not knowingly collect information from children.
